JOB SUMMARY: The Project Coordinator assists with planning, fundraising, and administration of Downtown Development Authority programs and events. Responsibilities include coordination of special events, sponsor development, community outreach, and general administrative support to ensure successful operation of DDA initiatives.

GUIDELINES: Work is performed in compliance with city policies, DDA guidelines, and standard event management and fundraising practices.
COMPLEXITY: This position requires balancing multiple tasks, including event planning, fundraising and sponsor relations, sometimes under tight deadlines.
SCOPE AND EFFECT: The purpose of this position is to ensure effective community
engagement, sponsor satisfaction, and the continued success of downtown development efforts.
PERSONAL CONTACTS: Contacts are typically with city employees, sponsors, businesses owners, volunteers, and members of the public.
PHYSICAL DEMANDS: This work is typically performed while sitting, standing, walking, bending or carrying light to moderate items. Occasionally lifting to 50 pounds is required.
WORK ENVIRONMENT: The work is performed in both office and event settings. Work events may require flexible scheduling, including evenings and weekends.

MAJOR DUTIES:
- 25 hours per week – typically Tuesday through Friday, with ability to work flexible schedule depending on scheduled events.
- Responsible for assisting and supporting fundraising efforts, including coordination of DDA events, sponsor development, and general
- Takes lead on planning and implementation of DDA events, primarily: Annua Meeting, Spring and Fall Pub Crawls, Music by the Tracks, Backpack Buddies 5K, Holiday Shopping Events, and the Christmas Tree Lighting.
- Attendance at DDA events is an expected part of the position.
- Manages the administration of rental events. Attendance at these events is generally limited.
- Performs basic administrative duties such as filing, correspondence, data entry, preparing meeting packets, brochure updates, etc.
- Provides support with project planning, including budget projections for fundraising.
- Assists with accounts payable.
- Assists with DDA outreach to business and property owners.
- Works to develop new sponsor relationships and manages existing sponsor database.
- Assists in scheduling meetings with prospective sponsors and donors.
- Creates and distributes annual sponsorship and donor materials.
- Maintains sponsor database, records donations, and tracks deliverables for sponsor benefits.
- Performs all other tasks assigned by DDA Director.
QUALIFICATIONS:
- High school diploma or GED required, bachelor’s degree preferred.
- Equivalent experience in public relations, fundraising/development, business communications, and/or marketing/promotions will be considered in lieu of a college degree.
- Fluent with MS Office Suite. Experience with Canva a plus.
- Displays excellent time management, and organizational skills as needed for meeting deadlines.
- Displays excellent interpersonal skills and a professional demeanor when speaking or corresponding with others.
- Must have valid driver’s license and be willing to occasionally drive to pass out promotional materials, pick up donations, attend trainings, etc.
- Must be able to occasionally lift and/or move up to 50 pounds
